What Not to Say in Your Professional Email Communications
In today’s world, email communication has become an integral part of Restaurant Management. Writing a well-constructed email using modern terms and phrases is crucial when sending formal emails. Ambiguity in the email content can lead to confusion and delays in getting the desired response. Therefore, it is essential to deliver a clear and concise message.
To ensure that your email is professional, avoid using phrases such as “Please note that…” as they are overused. Instead, use phrases like “be advised that…” to sound more assertive. Similarly, avoid endearing terms such as “Sincerely yours” or “Yours very truly” which sound outdated. Replace them with appropriate terms like “faithfully” or “regards,” depending on your relationship with the recipient.
Starting the email with an expression like “I hope you are well” can be misleading as it adds no value to the email’s content. Instead, show that you value and respect the recipient’s time and quickly move on to the point. Using “respectfully” may also add an undesired tone to the email, so it is best replaced with “please.”
Avoid using cliche phrases like “Please do not hesitate to contact me” to end your email. It is better to add a personal touch to your email with phrases like “please call me” or “send me an email,” which are still courteous and make you more approachable.
Lastly, avoid using vague expressions like “I thought I should reach out” as they do not convey the intended message clearly. Instead, be direct and to the point to elicit the desired response.
